Order Management

View, manage, and take action on orders synced from your WooCommerce store. Track order status, process refunds, send notifications, and print invoices.

Order Overview

Orders are automatically synced from your WooCommerce store and displayed in the CRM with enhanced management capabilities.

Order List

The orders list shows:

  • Order number and date
  • Customer name and email
  • Order status with color-coded badges
  • Order total
  • Tags for organization

Filter orders by:

  • Status: Pending, Processing, Completed, Cancelled, etc.
  • Date Range: Custom date filters
  • Customer: Search by customer name or email
  • Store: Filter by connected store (for multi-store setups)

Order Detail Page

Click any order to view complete details:

Order Information

  • Order number and WooCommerce ID
  • Order date and status
  • Payment method
  • Customer note

Line Items

  • Product names and SKUs
  • Quantities and prices
  • Item totals
  • Tax information

Order Totals

  • Subtotal
  • Shipping
  • Tax
  • Discounts
  • Grand total

Customer Information

  • Billing address
  • Shipping address
  • Customer profile link

Order Actions

Status Management

Update order status directly from the CRM:

  1. Open the order detail page
  2. Click the status dropdown
  3. Select the new status
  4. Status is updated in WooCommerce automatically

Send Email Notifications

Send emails to customers about their orders:

  1. Click Send Email button
  2. Choose notification type:
    • Order Confirmation: Resend the order confirmation
    • Status Update: Notify customer of status change
  3. Email is sent immediately

Process Refunds

Issue refunds for orders:

  1. Click Process Refund
  2. Enter the refund amount
  3. Provide a reason (optional)
  4. Select refund method
  5. Click Process Refund

Refunds are logged in the order activity timeline.

Duplicate Order

Create a copy of an existing order:

  1. Click Actions dropdown
  2. Select Duplicate Order
  3. Confirm the action
  4. A new order is created with “pending” status

Cancel Order

Cancel an order with an optional reason:

  1. Click Actions dropdown
  2. Select Cancel Order
  3. Enter cancellation reason (optional)
  4. Choose whether to notify the customer
  5. Click Cancel Order

Generate printable documents:

Print Invoice:

  1. Click ActionsPrint Invoice
  2. Preview the invoice
  3. Click Print to open browser print dialog

Print Packing Slip:

  1. Click ActionsPrint Packing Slip
  2. Preview the packing slip (no prices shown)
  3. Click Print

View Email History

See all emails sent for an order:

  1. Click ActionsEmail History
  2. View list of sent emails with dates
  3. See notification types and descriptions

Order Tags

Organize orders with tags:

Adding Tags

  1. Open the order detail page
  2. Click Add Tag in the tags section
  3. Select an existing tag or create new
  4. Tag is added immediately

Managing Tags

  • Click the X on a tag to remove it
  • Create new tags from the tag dropdown
  • Tags sync across all orders

Order Notes

Add internal notes to orders:

  1. Scroll to the Notes section
  2. Enter your note text
  3. Select a category (General, Follow-up, etc.)
  4. Click Add Note

Notes are visible only to your team, not customers.

Order Activity Timeline

Track all order activity:

  • Status changes
  • Emails sent
  • Refunds processed
  • Notes added
  • Tags modified

Each entry shows the action, timestamp, and user who performed it.

Reminders

Set reminders for order follow-up:

  1. Click Set Reminder
  2. Choose reminder date and time
  3. Enter reminder note
  4. Click Save

You’ll receive a notification when the reminder is due.

  • Set reminders for pending actions
  • Review cancelled orders for patterns
  • Monitor refund reasons
